An unexpected bank message can put everyday operations under pressure. A payment may not go through, online access may be limited, or the finance team may be asked to provide updated company information before the bank completes its review. For an established business, this is a different problem from opening an account: the priority is to understand the existing bank’s request and assemble a clear, accurate response.

If you are dealing with a UAE corporate bank account KYC restriction, do not assume that an expired licence, a shareholder change or one missing attachment explains the restriction. Only the bank can clarify what it can disclose about your account and what information remains outstanding. A well-organized documentation file supports the review; it does not guarantee that services will be restored.

Scope: This guide concerns existing corporate accounts and KYC updates, not account-opening applications. It is general administrative information, not regulated banking, legal or financial advice. Requirements vary by bank, customer profile, jurisdiction, legal structure and the bank’s actual request. The bank alone decides whether an account restriction can be lifted.

Need help organizing the response?

Gold Altairgo can assess your document gaps and administrative coordination needs. Share a non-sensitive summary first; do not upload passports, account statements or confidential bank correspondence through a general enquiry form.

Why banks request updated company information

Know Your Customer (KYC) is not limited to the day an account is opened. The UAE Central Bank’s customer due diligence guidance describes ongoing monitoring and keeping customer and beneficial-owner information current. Banks need to understand the customer, the purpose of the relationship and whether activity is consistent with the information held.

An update may be part of a periodic review or follow a change in the business or the information available to the bank. Practical examples include updated identity documents, a renewed trade licence, changed ownership or signatories, a different operating address, or a request to explain transactions and their supporting evidence. These examples are preparation prompts, not a diagnosis of any particular restriction.

Emirates NBD’s published KYC remediation guidance warns that outdated KYC records may result in restrictions on account access and potentially termination of services. That is one bank’s stated guidance, not proof that every incomplete file produces the same outcome. Do not infer a universal deadline, review period or automatic route to reinstatement.

First establish what the bank is actually asking for

  1. Verify the message. Open your banking application independently or use contact details from the bank’s official website. Do not send sensitive documents to an unverified email address or a link received in a forwarded message.
  2. Separate the issues. Ask whether the message concerns an outstanding KYC update, a transaction-specific query or a different account-service issue. Record the wording without inventing a reason the bank has not confirmed.
  3. Capture the request precisely. List every requested item, any stated submission date, format, certification or translation instruction, and the approved submission channel. If a requirement is unclear, ask the bank before preparing substitutes.
  4. Clarify the operational position. Ask which services are affected and what information the bank can provide about the review. Do not assume that a successful upload restores payment access.
  5. Assign one company coordinator. Keep responsibility for collecting documents, management approval and bank follow-up clear, even when several teams contribute.

If a date in the bank’s request cannot be met, raise that with the bank through its official channel. An extension is not automatic. Keep your company’s internal response schedule separate from any assumption about how long the bank will take.

Practical corporate KYC document preparation checklist

Use the following categories to organize your response, then narrow the file to what your bank has requested. This is not a universal legal document list. Emirates NBD’s published company KYC list is a useful bank-specific example, but another institution may request different evidence.

1. Company registration and operating details

  • Current trade licence, certificate of incorporation or other registration record requested for your entity.
  • Memorandum and Articles of Association or equivalent governing documents, including relevant approved amendments where requested.
  • Requested evidence of the operating address and premises.
  • Current company name, registration details, licensed activities and contact information, checked against the bank’s forms.

Use the records applicable to your mainland, free-zone, offshore or other legal structure. Do not assume that the same document names apply to every authority. Where an amendment is still being processed, explain the position accurately and ask what evidence the bank will accept.

2. Ownership, control and beneficial-owner records

  • The current ownership chart and shareholding information requested by the bank.
  • Documents supporting corporate shareholders and ownership chains, where applicable to the request.
  • Requested ultimate beneficial owner (UBO) information and identity evidence.
  • Requested identity documents for shareholders, directors and authorized representatives.

Do not substitute the name of a local manager for the beneficial owner or leave a corporate ownership chain unexplained. Identity thresholds and documentary requirements in an individual bank’s checklist should not be presented as a universal UBO rule.

3. Account authority and signatory records

  • Requested board resolutions, powers of attorney or other evidence of authority to operate the account.
  • Current signatory details and any requested supporting identification.
  • Evidence of approved changes where the company’s authorized representatives have changed.

If the bank’s recorded signatories differ from company records, ask the bank which update process applies. An administrative coordinator should not sign declarations or issue instructions beyond their actual authority.

4. Business activity and commercial evidence

  • A factual description of what the company sells or delivers, where it operates and who its main customers or suppliers are, if requested.
  • Requested contracts, purchase orders, invoices, delivery records or evidence of services performed.
  • Business-profile information and expected account activity requested in the bank’s forms.

A website alone may not answer a request for transaction evidence. Align the description with the company’s actual activity and available records. Where operations have changed, explain the change rather than copying an outdated profile.

5. Source-of-funds information

  • The explanation and evidence the bank requests for particular funds or funding arrangements.
  • Relevant supporting records for customer receipts, shareholder funding, loans or other genuine funding sources, depending on the query.
  • Source-of-wealth information where specifically requested, distinguished from the source of a particular payment.

Connect an explanation to identifiable records. For example, if the bank asks about shareholder funding, gather the supporting agreement, approval or transfer records that actually exist and answer the request accurately. Do not manufacture an agreement or relabel a transfer to make it appear simpler.

6. Transaction-specific supporting documents

  • The transaction reference, date, amount, currency and counterparty details needed to identify the bank’s query.
  • Relevant agreements, invoices, purchase orders, delivery or service evidence and payment records requested.
  • A short explanation linking the transaction to the company’s genuine commercial activity.

Match each attachment to the relevant transaction. A large folder of unrelated invoices can obscure rather than resolve the query. If a payment involves another entity or a different named party, flag that discrepancy and obtain appropriate specialist guidance instead of guessing its legal effect.

7. Additional bank-requested forms and evidence

The bank may ask for its own due diligence forms, tax declarations such as FATCA/CRS forms, compliance declarations or other supporting information. Follow the bank’s instructions. Whether a particular declaration applies and how it should be completed may require advice from a qualified tax, legal or other specialist.

Turn missing documents into an accountable response register

Build a simple register with one row per requested item: bank request reference, responsible person, source document, version or expiry date, outstanding issue, approval status and submission status. Mark items as available, awaiting an internal owner, needing clarification from the bank, or requiring specialist review.

This prevents an acknowledgement being mistaken for acceptance. Keep a copy of what was submitted and any receipt or reference provided, but track unanswered follow-up questions separately. If an original record cannot be located, tell the responsible manager and ask the bank what alternatives it will consider; do not present an informal replacement as an official document.

For companies with repeated document handover problems, monthly Business Admin & Back-Office support can help maintain approved document registers, version control and coordination. This is recurring B2B administrative support, not authority to determine compliance outcomes.

Reconcile inconsistencies before submitting

Check company names and registration numbers across the licence, governing documents, invoices and forms. Compare ownership and signatory details with approved records. Review addresses, document expiry dates, activity descriptions and the relationship between an invoice, contract and payment.

Classify each discrepancy: a clerical error, an outdated record, an uncompleted company change or a point requiring professional interpretation. Management should approve the explanation. Do not silently edit official documents, backdate agreements, hide ownership information or submit a commercial narrative that conflicts with the underlying evidence.

Where the issue involves company structure or inconsistent corporate records, Corporate Advisory may help assess the coordination work and identify where qualified legal or other advice is needed. A bank’s document query does not itself establish that a company amendment is legally required.

Communicate through the bank’s official channels

Submit through the secure upload route, authenticated banking channel, branch or other method the bank specifically confirms. Use a short cover note identifying the request, each attached item and anything still outstanding. Answer the bank’s questions directly instead of making general assurances that everything is compliant.

Ask for confirmation of receipt and clarification of unresolved items. Retain the bank’s response and reference number. Do not send passwords, one-time passcodes or online-banking credentials to any adviser. Sensitive documents should be shared only through an agreed secure process with access limited to authorized people.

A useful clarification message is: “We are responding to your request dated [date], reference [reference]. Please confirm the outstanding items, required format and official submission channel. We have prepared [items]; [item] needs clarification. Please confirm which account services are affected and the appropriate route for follow-up.” This organizes the conversation without demanding or implying approval.

What documentation support can—and cannot—do

Banking & PRO Services can be the starting point for discussing corporate banking documentation support. Gold Altairgo’s administrative role can include mapping the bank’s request, coordinating approved company records, identifying gaps, maintaining a response register and organizing authorized follow-up.

That work is distinct from providing regulated banking services, legal opinions or financial advice. It cannot override the bank’s controls, replace truthful declarations, guarantee approval or obtain privileged access to a compliance decision. Where a query needs professional legal, tax or financial interpretation, use a suitably qualified adviser.

Only the bank decides whether a restriction can be lifted. A complete file may still lead to further questions or a different outcome. There is no reinstatement timeline promised in this guide. Do not try to bypass the review by changing payment descriptions, concealing counterparties or routing transactions to evade controls.

If you are actually choosing a bank for a new company, use the separate UAE corporate bank account opening guide. It addresses onboarding, not resolution of a restriction on an existing relationship.

Official sources and how to use them

Sources checked on 22 October 2026. These references support ongoing due diligence and document-update preparation; they do not establish the reason for your restriction or replace your bank’s current instructions.

Request a Corporate Banking Documentation Assessment

Describe whether your company received an update request, a transaction query or a notice affecting account services. Tell us which document categories are outstanding and who coordinates them internally. Start with a non-sensitive summary; confidential records can be discussed through an agreed secure process if appropriate.

Gold Altairgo can assess administrative preparation and coordination needs, with specialist issues referred for qualified review where required. The assessment does not promise account reopening, reinstatement or a particular bank decision.

FAQ

Frequently asked questions

Does a KYC request mean the bank has decided to close my account?

No conclusion can be drawn from a document request alone. Ask the bank to clarify the request and which services are affected. Only the bank can explain what it can disclose about the review and decide the account outcome.

Can an expired trade licence explain a restriction?

An outdated registration record may be relevant to a KYC update, but it does not establish the reason for a particular restriction. Follow the bank’s request and ask which documents or updates remain outstanding.

Must every UAE company submit the same KYC documents?

No. Documents vary by bank, legal structure, customer profile and request. Use your bank’s current instructions. A published checklist from one bank is an example, not a universal legal requirement.

What should we do if ownership records do not match the bank’s information?

Gather the current approved records, identify the discrepancy and ask the bank which update process applies. Do not alter official documents or conceal an ownership chain. Issues requiring legal interpretation should be reviewed by a qualified adviser.

How long does it take to lift a corporate account restriction?

There is no universal reinstatement period stated here. Timing and outcome depend on the bank’s review and circumstances. Ask the bank about its process; submitting a complete file does not guarantee that a restriction will be lifted.

Should we send passports or bank statements through WhatsApp or the enquiry form?

Start with a non-sensitive summary. Verify the bank’s official submission route and agree a secure process before sharing confidential documents with a support provider. Never share banking passwords or one-time passcodes.

Can Gold Altairgo guarantee account reopening?

No. Gold Altairgo can assess administrative documentation and coordination needs, not override bank controls or guarantee approval. The bank alone decides whether restrictions can be lifted. Regulated banking, legal and financial advice are outside routine administrative support.
